Most fact-finds ask the client for information they have already handed over in a payslip, a bank statement or a credit report. CaseGather works the other way round. It reads the documents first and asks questions second, so the client only answers what is genuinely still missing and the adviser starts from a far more complete picture.

The client app

The client app is the applicant-facing entry point. It is designed to feel like a guided conversation rather than a long, static form, and it works properly on a phone.

  • Start with a clear welcome, consent and agreement journey before any information is provided
  • Upload proof of identity, proof of address, proof of income, bank statements and credit report information
  • Review and correct anything read from a document before the fact-find is submitted
  • Work through structured sections covering applicants, employment and income, property and mortgage objectives, commitments, expenditure, credit history and protection
  • Add supporting documents and see progress through the journey, including support for joint applicants

The adviser dashboard

The adviser dashboard is the shared case workspace. It gives a live view of every case from creation through to completion, adviser review, advice preparation and output generation.

  • Create and identify cases using a shared case reference
  • Search and filter by client, case ID, mortgage journey and current stage
  • Monitor pipeline metrics: all cases, clients in progress, cases ready for review, outputs ready
  • Open a client fact-find showing submitted information, recorded documents, progress and last update
  • See skipped questions and complete them, or mark them not applicable, with the action recorded in the case audit trail
  • Reopen the client journey when further information or clarification is needed

From there the adviser works through needs and priorities, preferences, future changes, protection, affordability, research and illustration, recommendation and compliance — all saved against the same shared case record the client contributed to.

The report generator

The report generator turns the case record into a structured suitability-report draft, reducing manual re-keying and giving advisers and compliance a consistent starting point.

What feeds the report

  • Client objective, mortgage journey, needs, priorities, preferences and future changes
  • Evidence recorded against the case, including document and illustration filenames
  • An affordability indication, clearly labelled as an indication rather than a lender decision or mortgage offer
  • Recommendation details such as lender, product, loan amount, term, repayment method, rate, payment, fees, APRC, total amount payable, follow-on rate, early repayment charges and portability
  • Suitability rationale, how the recommendation meets priorities, alternatives considered and discounted, risks and disadvantages, protection discussion and compliance responses

Pre-issue validation

Before a report can be generated, CaseGather checks that the required adviser rationale, alternatives, disadvantages, client-understanding confirmation and compliance-readiness responses are present. Where recommendation information has been imported from an illustration, the relevant fields also require adviser confirmation. It is a deliberate review gate, not a rubber stamp.

Available outputs

  • A Word report: a formatted adviser document with a branded cover, case metadata, report sections, highlighted summary areas and comparison tables where applicable
  • A PDF report: print-friendly, with page headers and footers, case identification, summary boxes and structured report sections

Generated outputs are recorded against the case with a status and an audit event. Every output is explicitly labelled as an adviser draft and must be checked for accuracy, suitability and regulatory completeness before it is issued to a client or used as a final record. Final suitability, compliance and lender checks remain the responsibility of the adviser and the firm.

The end-to-end workflow

  • 1. Client starts — consent, agreement and document-led onboarding
